How To Automate Your Business with Honeybook

Wouldn’t it be nice if you could put your menial business tasks on autopilot?  Sending out questionnaires, payment reminders, and email confirmations are all things that photographers would love to get off of our plates if we could.  Learning how to automate your business with Honeybook will let you focus on the more exciting aspects of being a photographer.

The heart of Honeybook is its project pipeline.  These pipelines, customizable by you for the types of projects that you do, allow you to automate numerous tasks.



Remind Clients of Their Sessions

It always hurts when a client doesn’t show to a scheduled session.  Where it hurts the most is in the pocketbook, because you can’t fill that time slot with another paying client that late.  Send out an automatic appointment reminder when it’s appropriate.

  1. In the top menu under Tools, select Workflows
  2. If you don’t have a workflow yet, create one for this type of session
  3. Select “Send Email”
  4. Under the “Send Email with This Message” dropdown, select the template containing your reminder email
  5. Set the number of days before the session date that you would like the email sent
  6. Save the workflow

It’s really that easy!


Send Payment Reminders

Even more annoying than a no-show is a client who doesn’t pay for services – and most of the time, it’s not even intentional.  Sending payment reminders with Honeybook is even easier than sending appointment reminders, and they’re enabled by default.

All you have to do is click on your profile photo in the upper right and go to the Company Settings.  Select Preferences from the menu on the left side and scroll to Actions.  Enable “Send my client payment reminders,” and they’ll receive friendly reminders before and after the due date. 


Automatically Collect your Questionnaires

Have you ever had that sinking feeling when you show up to a session and realize that you forgot to send out the questionnaire?  I hope not.  Even if that has never happened to you before, you can rest assured that it will never happen to you when you automate with Honeybook.  Once you create an appropriate questionnaire, schedule it to be sent out to your clients 30 days before the shoot.  There are two ways to do this.

If you have one questionnaire to send to all of your clients, you can do this where you enabled payment reminders in the previous step.  Select the questionnaire template, email template, and “One month” for the time before the project.

If you have different questionnaires to send out for different workflows, you can automate this task in the Workflows screen where you earlier set up an appointment reminder.  Instead of selecting “Send Email,” just select “Send Questionnaire” followed by your questionnaire template, email template, and schedule.
